What we collect

For pilot applications, we collect your name, email, location, role or pursuit, arena, objective and current AI experience. You may also provide an AI preference, how you heard about us, and an additional number for text-message or WhatsApp contact about your application.

For inquiries and bookings, we collect your contact information and the details you provide so we can respond and prepare. Please do not include sensitive personal information or another person’s private information in these initial forms.

Website and booking technology

We use Framer to host this website and provide its forms. Framer processes technical information needed to deliver the site. Its built-in analytics provide information about site usage; Framer states that these analytics do not use cookies. Our booking links take you to Calendly, which processes the information you provide to schedule a conversation. Calendly’s own privacy notice applies to its service.

How we use it

We use this information to assess applications, contact applicants about cohorts, arrange and prepare conversations, respond to inquiries and operate the website. Applying does not subscribe you to a newsletter or unrelated marketing. Additional contact channels are used for communication about your application.

Where the GDPR applies, we rely on our legitimate interests in responding to inquiries, arranging conversations, assessing pilot applications, and operating and securing our website. We limit this processing to what is reasonably necessary and weigh those interests against your rights and expectations. Where you ask us to take steps toward entering a contract, we process the information necessary for those steps. Where we rely on consent, you may withdraw it at any time without affecting earlier lawful processing.

Except as described below for applications from the European Economic Area, we use AI services from OpenAI (ChatGPT) and Anthropic (Claude), to help organize, summarize and assess application responses. We select the information shared, review the suggestions and make the final selection decisions. We share only context relevant to that review, use application numbers where names are unnecessary, and omit contact details and other identifying or sensitive information that is not needed. We may use relevant excerpts or summaries instead of a full application. These measures reduce identification risk but do not necessarily make the information anonymous.

Applications from people in the European Economic Area are reviewed by a person without submitting their personal information to ChatGPT or Claude. Any proposed AI-supported processing of personal information during subsequent pilot participation will be explained separately before it begins, with consent obtained where required.

Service providers and international processing

We use Framer for website hosting and application forms, Calendly for conversation bookings, Microsoft 365 Email Essentials supplied through GoDaddy for email, and OpenAI (ChatGPT) and Anthropic (Claude) for the AI assistance described above. Framer also describes infrastructure in Europe and Asia-Pacific. Provider processing locations vary by service and function; we do not promise Canada-only storage. Information processed abroad may be accessible to authorities under those countries’ laws.

Our service providers may process personal information outside your province or country, including in the United States. Privacy laws in those locations may differ from those where you live. You can contact privacy@forandras.ai for information about our service providers and international processing.

Retention

We keep pilot applications for up to 12 months from submission. If you join a pilot, relevant information becomes part of your participant record under the privacy terms provided for that pilot. Keeping an application longer for future cohort consideration requires your separate agreement.

We keep ordinary inquiry and booking correspondence for up to 12 months after resolution, or after the last substantive exchange if there is no clear resolution. Records relating to a client engagement follow its separate retention arrangements.

Specific records may be kept longer where reasonably necessary to meet legal obligations or establish, exercise or defend legal claims. When information is no longer needed, we delete it or make it non-identifying.

Your rights

You can request access to or correction of your information and raise questions or concerns with us. Depending on applicable law, you may also have rights to deletion, restriction, objection and data portability, subject to relevant conditions and exceptions.

We respond without undue delay and within the time required by applicable law. Where European data-protection law applies, this is normally within one month. If a permitted extension is needed, we will explain why and when to expect our response.

You may raise a concern with Alberta’s Information and Privacy Commissioner, Canada’s Privacy Commissioner where applicable, or your relevant European supervisory authority.

Updates

We may update this policy as our practices change. The date above identifies the latest version.
